How Space Reason collects, uses, and protects personal data related to this site and our audit engagements.

Data controller
Space Reason (“we”) is the data controller for personal data collected through spacereason.digital and in the course of providing application audit services.

Data we collect
- Inquiry data: name, email address, optional engagement interest, application/ledger scope notes, and message content you submit via forms or email.
- Engagement data: contact details of client personnel, interview notes, and materials necessary to perform an agreed audit (often business rather than personal data; personal data is minimised).
- Technical data: limited server logs (IP address, browser type, timestamps) and cookie-related data as described in our Cookie Policy.
We do not intentionally collect special-category data through the website.
Purposes and legal bases
- Responding to inquiries and preparing proposals (legitimate interests / steps prior to contract).
- Performing contracted audit engagements (contract performance).
- Improving site reliability and understanding aggregate page usage when analytics cookies are accepted (consent).
- Meeting legal and accounting obligations (legal obligation).
Retention
- Inquiry messages: up to 24 months after the last correspondence, unless a contract follows.
- Engagement records: typically seven years after engagement completion, aligned with Japanese commercial record-keeping practice, unless a longer period is required by law or dispute.
- Server logs: ordinarily up to 90 days.
- Cookie consent choice: stored in your browser until you clear storage.
Sharing
We use processors who host email, file exchange, or website infrastructure under confidentiality obligations. We do not sell personal data. We may disclose data when required by law or to protect legal rights.
International transfers
Our primary operations are in Japan. If a processor stores data outside Japan, we take appropriate measures (contractual safeguards and vendor review) consistent with applicable requirements.
Your rights
Subject to Japanese law and other applicable rules, you may request access, correction, deletion, or restriction of your personal data, and you may object to certain processing. Where processing is based on consent, you may withdraw consent without affecting prior lawful processing.

Security
We apply administrative and technical measures appropriate to the sensitivity of engagement materials, including access limits and secure transfer methods agreed in proposals.
Children
The site and services are directed to business professionals, not to children.
