Building an evidence pack the application will actually support
A clean match on screen is not the same as a complete evidence pack when someone asks for last March.
Reconciliation management applications vary widely in what they store. Some keep bank statements as attachments with timestamps; others keep only the matched amount and a free-text note. When a statutory or internal reviewer asks for a month’s evidence, the gap becomes visible overnight.
Habits that help
- Attach the source statement or clearing file to the item, not only to a shared drive folder nobody can find six months later.
- Require a comment when someone forces a clear — and sample those comments for substance, not for the word “OK.”
- Learn your export path before close week. If PDF packs omit the attachment, know the workaround while people still have calendar space.
Habits that hurt
Screenshot-only balances without the underlying statement. Approvals captured in email but never linked in the application. Roles that can delete attachments after the close is signed.
